Overview

Reports to: Accounts Payable Manager

 

Functions Supervised: None

 

Primary Functions: To ensure the timely and accurate payment of invoices and check requests.


Duties and Responsibilities:

  1. Perform accounts payable functions. Ensure timely, accurate payment of invoices for the credit union and its subsidiaries. Research and resolve disputes with vendors.
  2. Validate invoices and ensure proper authorizations for payment. Ensure correct coding to profit and cost (department) centers. Take advantage of discounts where offered.
  3. Reconcile vendor statements for outstanding items. Communicate problematic vendor accounts to management.
  4. Ensure proper capitalization versus expense distribution.
  5. Ensure proper intercompany billing between CU and CUSOs.
  6. Track new vendor tax identification certifications and assist in the annual 1099 process.
  7. Prepare correcting journal entries or system adjustments as needed.
  8. Assist with monthly account analysis and preparation of department metric reports.
  9. Assist department manager with implementation of new systems/enhancements.
  10. Perform other duties as assigned.

Qualifications

Education: High School graduation or equivalent. Community College Certificate preferred.


Creditable Experience in Lieu of Education: Not Applicable

 

Experience/Skills: Two years A/P experience preferred. Must be familiar with accounting and bookkeeping principles and procedures and the ability to work with minimal supervision. Must have attention to detail, organizational skills and productivity working with large volumes of documents. Experience with automated payables systems and software including Excel, Word and Outlook required.


Tenure: Accounts Payable Representative II, Category 12, requires 12-24 months tenure in the Accounts Payable Representative I position. Accounts Payable Representative III, Category 11, requires 12-24 months superior performance in the Accounts Payable Representative II position with proven ability to manage an increase in job responsibilities. Advancement to the Accounts Payable Representative II or III position requires management recommendation and will be based on the candidate's performance.
